Host Reminders & FAQ
Important Changes from previous calls

Leave Chat Open during calls. However, the standard forum & event guidelines apply to our participants, so NO marketing info allowed in the chat. If this happens give the user a warning, then boot if someone is spamming.

We will be allowing people to join without video, as well as inform them about our new option for audio-only breakout rooms. Please stay tuned for some updated ways we will state this on our calls.

There will be a new area called "Self-Organized Meetups" where affinity groups can post their own meetup times/links on a forum for others who wish to join them in conversations outside of the official Community Calls.Â

AI Bots on Zoom - these are coming out more all the time and we can't stop them all. We are trying to prevent certain apps from running using our global settings. Some of the bots "join the meeting" just like a person, which means they can also be booted from the meeting, or not let in if the waiting room is enabled. However, the main thing we will ask is for people to please disable any recording or transcription software, as these calls are not meant to be recorded or shared beyond the live experience. As we learn more, we will share with our hosts.

For those concerned about Zoom Platform terms of service - please know that we do NOT opt in to the Zoom AI services. We honor the privacy of our participants and do not record, transcribe, or use AI learning tools to monitor conversations within the retreat breakout rooms.
Reminders for all hosts

When screen sharing resources, be sure to click the checkbox to allow sound for videos requiring sound. Also turn OFF your on-screen notifications, sound notifications, and any unnecessary apps. Here is an article describing some ways to turn off notifications on various devices.Â

Remember to check for stable internet connection and high quality audio (protected from strong wind, loud background noise, etc). Be aware that earbud style microphones that lean against your shirt can rattle so please test your mic with your fellow hosts for the clearest signal.

Always send participants to [email protected] for technical issues, account issues, or any other questions you can't answer. We will also have an 'Ask the Host' forum.
What will participants know about the Community Calls?
Participants will get invited to join community calls every other week throughout the retreat.

Below is the video that will be shared to all retreat participants about the Gene Keys approach to community calls and sharing circles. This will be available as a core video to the retreat as we begin, and will be linked as a replay for participants to see at anytime.

Host Attunements
As part of your role we ask that you attend three host attunements – one before, during, and after the retreat to support our team along the way. You will be paid for your time during these three events and may invoice these hours, as we value everyone’s participation and commitment throughout this retreat. We understand that people in some time zones will be unable to join live. If you are unable to attend live, then we do ask you to please watch the replay and provide any questions you may have to the Events team.Â
At these gatherings, we will go over some orientation logistics, answer questions, and have a chance to get to know one another. Please review the host attunements scheduled in the calendar below. ALL hosts are asked to attend the live event or watch the replay.Â

Host Schedules
Your Assigned Community Calls
Below you will see a calendar with each Community Call. This calendar should auto-update to your local time zone. Please check in the bottom right-hand corner of the embedded calendar to double-check or change your preferred location.
Global time zones change partway through this retreat (March & April depending on location). All call times are based on UTC, but will adjust by 1 hour during parts of the retreat. The exact time change has been noted inside the calendar to make it as easy as possible for each person to check their own local time zone. Â
Check which Community Call room you are a host for! Using the chart below you will see which Community Call room you are a host for. You have been paired with one other hosts and a tech host for each call. These rooms are named by a “letter” such as CC-A or CC-B. Each room is a specific date & time, so you will stay in the same designated time slot throughout the entire retreat. We will be sending you reminders, but it is important that you review your specific calls ahead of time to double check your own schedule and confirm these dates with our Events team.
Start time includes a thirty-minute window BEFORE participants arrive. This is to give hosts a chance to prepare together and test tech before beginning the event music. The times listed in your hosting calendar below are when hosts are expected to arrive. The retreat participants will arrive at the top of the hour.
Now, view the embedded calendar below and be sure to add your Community Call events into your personal calendar. Double check the embedded calendar is displaying your local time zone in the bottom right. You can switch to week or month view in the top right.Â
Want to auto-synch these events to your personal calendar app? Follow these instructions to sync the ical file with your Google Cal, Outlook Calendar, or similar calendar app. On the embedded calendar below click Menu > Preferences > Icalendar feeds > select your specific Community Room call. Tools for our Host Coordination

Slack Messaging
Our hosts, tech hosts, and event coordinators will be using "Slack" as a quick message platform throughout the retreat. This is message tool is helpful for navigating Zoom & Login issues, confirming to our events coordinators that rooms are open and available, and a place for our hosts to ask questions of one another.
Slack can be used through a web browser, desktop app, or mobile app.
Once setup, you can use the Slack Channel system to…
- Find the weekly resources & confirm with the events coordinators that you have seen the outline and are prepared for your hosting responsibilities that week
- Ask any questions & share with your fellow hosts, events coordinators in a thread the entire hosting team can review and respond to for extra help or guidance
- Find replacements or extra logistical support for emergencies, technical problems, etc.
About using Slack
- You do not have to have a mobile device to use, though it can be a helpful tool so that you have quick access to your fellow hosts without logging into a website or needing your laptop
- We are using a free account, so not all features will be available, but it is a helpful and fairly intuitive tool to learn how to use
- You can set your own notification preferences, or simply close the app, to make sure you are not notified when you do not want to be. However, we will ask that all hosts check in at least once per week throughout the retreat, especially on the days you are scheduled to host a live event.

TeamUp Calendar & Email Notifications
Our team has been using "TeamUp" calendars to help coordinate across time zones and the complex web of events across the Gene Keys website. All hosts will be able to view the Host Schedule on this page, or you can follow the instructions below to add this calendar and/or email notifications to your own personal account.
You can subscribe to an iCal file to synch this host schedule to your own personal calendar such as Google Cal, Outlook Calendar, or Apple Cal.
Or, you can create a free TeamUp account to subscribe to email reminders leading up to your next call. This is an optional feature for those who prefer email reminders.

Adding TeamUp Email Notifications
Setup Free Account
- Create free TeamUp account – https://teamup.com/register
- Activate your account from link provided in Teamup email
- Save your password somewhere safe
- Wait until you are added to .:. Gene Keys calendar, you will receive another email link
- (Optional) You can remove the “Welcome” calendar if you want
Enable Email Notifications & Reminders
- Once you have been invited to the new calendar, login to teamup.com and click into the .:. Gene Keys calendar
- In top right click hamburger menu option > preferences > change notifications
- Edit email notifications > active > save
- In sidebar select Reminders
- For each sub calendar you are part of add three email reminders
- 10 minutes before
- 1 day before
- 10 days before
- Save
- (Optional) You can sync your host calendar to your own personal calendar app (Google, Apple Cal, Outlook cal, etc) if you have your own preferred calendar system
- Click sidebar option for iCalendar feeds
- Copy the URL for “All Calendars”
- Open your preferred calendar app and choose the option to Add New Calendar – Subscribe from URL

At this point you will not need to login to Teamup.com unless you want to change your email settings. If you like Teamup, you are welcome to use it, but these email notification settings are the priority.
