Role Summary
The Events Manager plays a vital role in orchestrating Gene Keys’ transformational online and in-person events. Reporting to the Gene Keys Strategy Team, this position works closely with GK Heads and Managers and requires exceptional organisational abilities to coordinate event hosts, tech hosts, event coordinators, digital platforms, and event logistics. The ideal candidate will blend meticulous attention to detail with a passion for creating seamless, inspiring experiences that embody the Gene Keys vision.

Key Responsibilities
Event Planning & Coordination
- Collaborate with the Gene Keys Co-CEOs to develop and execute the annual event plan and schedule aligned with business strategy
- Oversee comprehensive event logistics and project management, ensuring cross-team collaboration
- Manage Tech Hosts and Event Coordinators as key members of the Events Team, providing direction and support
- With Head of Guides & Ambassadors, lead coordination and scheduling of Retreat Hosts, fostering clear communication and alignment with event objectives
- Oversee event preparation timelines and ensure all milestones are met
- Develop and maintain comprehensive documentation and training materials to support event excellence
Technical & Platform Management
- Oversee event platforms (Zoom, YouTube, Vimeo), ensuring proper setup for different uses, user access management, and providing training for hosts and team members as needed
- Configure and test technical setups before events to prevent disruptions
- Coordinate recording, storage, and distribution of event content
- Troubleshoot technical issues during live events with minimal disruption
- Manage access to team communication tools (Slack, Teamup) to facilitate effective collaboration between event coordinators, leads, hosts, and other team members as needed
Communication & Team Coordination
- Maintain accurate calendars for events
- Schedule and facilitate Events Team meetings as needed
- Manage and coordinate Event Hosts and Tech Hosts, including scheduling, assignments, and providing training as as needed
- Collaborate with the Support Team to address attendee inquiries and concerns
- Liaise between different departments (Marketing, Support, Creative, Guides, Finance, DevOps) to ensure information flow, event set-up, and alignment on event plans and needed support
Financial & Administrative Management
- Review, approve, and submit invoices for Events Team, Retreat Hosts, and Community Engagement Hosts
- Support budget tracking for individual events and the overall events program
- Assist with contract administration for Retreat and Community Engagement Hosts and vendors
Project Management
- Implement and manage event workflows using project management tools (Asana) to develop tasks, assign responsibilities, and monitor deadlines
- Develop and maintain comprehensive event templates, checklists, and standard operating procedures in Asana and Box
- Document processes clearly and contribute proactively to continuous improvement initiatives
- Collect, analyze, and synthesize post-event feedback to implement meaningful improvements
- Create and maintain organized digital filing systems for efficient access to all event-related assets and documentation
Required Qualifications
- Experience in event coordination, project management, or similar role
- Exceptional organisational skills with ability to manage multiple projects simultaneously
- Strong written and verbal communication skills
- Proactive problem-solving abilities and resourcefulness
- Ability to work independently while maintaining alignment with team objectives
- Available to work outside of typical office hours to collaborate with global team
- Experience with online event facilitation or support
- Demonstrated proficiency with digital platforms including:
- Video communication and streaming platforms (Zoom, Teams, YouTube, Vimeo)
- Project management software (Asana)
- Communication platforms (Slack, CRMs)
- Calendar and scheduling tools
Desired Attributes
- Familiarity with the Gene Keys teachings and online event offerings
- Experience supporting online retreats, workshops, or webinar series
- Understanding of global time zones and international event considerations
- Basic knowledge of video streaming or broadcast technologies
- Calm, centred presence during high-pressure situations

- Experience with FluentCRM, Teamup
